A hotel can follow up on WhatsApp outside the 24-hour customer-service window using an approved message template, subject to the applicable permission and messaging rules. The window runs from the guest's last message. AI-generated text does not create an exception, and sending another business message does not reset the guest's window.

Identify the message you are actually sending
A booking update, an answer to a recent guest question, and a promotional offer are different communications. Classify the real purpose before selecting a template. Do not relabel a sales message as a service update simply to obtain a more convenient sending route.
The assistant can prepare the content, but the sending system should enforce eligibility from recorded timestamps, permission, template status, and recipient state. These controls should not depend on whether the model remembers the conversation correctly.
A practical pre-send checklist

Consider an unfinished enquiry
A guest asks about a weekend stay on Monday and receives a quote. On Wednesday, the hotel wants to ask whether they are still interested. The AI should not send an unrestricted free-form message based only on the fact that a conversation exists. The system must evaluate the current window and use the appropriate approved route.
Before contacting the guest, check whether the stay is still available and whether the guest already booked. A reminder about an expired or unavailable offer should not imply that the old price remains valid.
Templates still need accurate variables
Approval of a template does not approve every value inserted into it. Property name, dates, price, and booking reference must come from verified data. A template that mentions an attached room image also needs the supported media parameters at send time.
If the template is unavailable or rejected, create a visible exception. Do not fall back to a free-form outbound message outside the permitted window merely to preserve an automation target.
Budget channel charges separately
Review the current WhatsApp Business Platform pricing information and the provider's written quote. Message category, market, and provider arrangements can affect the bill. A hotel's software subscription should not be assumed to include every channel charge.
Use the ownership-cost worksheet to compare costs under a normal and peak-month workload. Avoid projecting savings from sending the same enquiry repeated reminders.
Test the boundaries before enabling follow-ups
Test just inside and outside the window, a new guest reply, an opt-out immediately before sending, a guest who booked elsewhere, and a provider failure. Verify the literal outbound payload and the operator-visible result.
