A 40-room hotel should budget for the complete AI service: subscription, messaging, integration, setup, staff supervision, and an exit plan. Room count alone cannot determine a reliable price. Compare written quotes against the same monthly conversation volume and the same tasks, then calculate the cost per successfully completed task.
This is a budgeting method, not a market-price survey. Public hotel-operator discussions show how difficult comparing software bills can be: the r/askhotels discussion about monthly PMS costs includes different property sizes, minimum charges, and bundled services. Those anecdotes explain the buying question; they do not establish a standard AI price.
Start with the work you are buying
List the conversations that consume time today. A hotel receiving mostly directions questions needs a different service from a resort handling family packages, wedding leads, and booking amendments. Count guest conversations separately from individual messages. Ten messages about one stay are one buying journey, although a provider may charge for several billable events.
Then choose the scope: answering approved questions, drafting replies for staff, or completing authorized reservation actions. A low subscription for an FAQ assistant is not comparable with a service that writes bookings into the PMS. Ask what is included in the reservation system and what requires another contract.
The ownership-cost worksheet
| Cost line | What the quote must specify | Common comparison error |
|---|---|---|
| Subscription | Property, room, user, or usage basis; minimum commitment | Comparing a monthly headline with an annual obligation |
| Messaging | Provider fees, pass-through charges, included usage and overages | Assuming every WhatsApp interaction is included |
| Integration | Exact PMS version, supported actions and maintenance owner | Treating an available API as a finished connector |
| Implementation | Policy preparation, migration, training and launch support | Ignoring hotel staff time |
| Ongoing operation | Review time, incident support and content updates | Assuming AI operates without supervision |
| Exit | Export format, assistance and termination obligations | Discovering transition costs after signing |
A worked example with explicit assumptions
Consider an illustrative quote with a ₹12,000 monthly subscription, ₹3,000 of messaging and connector charges, and ₹30,000 of setup work spread over twelve months. Budget a further twenty staff hours per month at an internal planning rate of ₹250 per hour. The monthly economic cost is ₹22,500: ₹12,000 + ₹3,000 + ₹2,500 + ₹5,000. These are invented planning inputs, not Hotelary prices or an industry benchmark.
If that service completes 500 eligible tasks, its economic cost is ₹45 per completed task. If it completes only 100, the figure becomes ₹225. The subscription has not changed; the useful output has. For cash planning, show the upfront ₹30,000 separately rather than pretending the vendor accepts monthly installments.
Compare a normal month and a difficult month
Request a second estimate for your busiest period. Include longer conversations, additional staff seats, and a realistic human escalation rate. Ask whether failed messages, repeated attempts, or spam consume billable usage. Require a spending alert and a clear response when the allowance is exhausted: stopping silently can be more expensive than an overage.
WhatsApp also has its own operating conditions; review the official messaging policy rather than relying on a sales promise about unlimited outreach. Obtain current channel pricing in the written proposal because platform charges can change.
What makes a quote worth accepting?
A useful quote lets you reproduce its arithmetic, names the supported workflow, and identifies who handles failures. Reject savings calculations that count all freed staff minutes as payroll reductions while keeping the same roster. Use our hotel AI ROI worksheet to separate those benefits.
For product scope, start with Hotelary's AI hotel software overview, then compare the current published plans with your written requirements. The small-property buying guide provides the wider software context. Ask for a demonstration of your busiest workflow before deciding that a lower price represents better value.
