Data Deletion Instructions

Hotelary.ai (operated by Geeks and Beasts Consulting Pvt Ltd) gives every user the right to request deletion of their personal data. This page describes exactly how to make that request, what gets deleted, how long it takes, and which data we are legally required to retain.

These instructions cover all data Hotelary.ai stores, including data we receive when you connect your Facebook account, your Meta business portfolio, or your WhatsApp Business account to Hotelary.ai.

There are two ways to request deletion of your personal data from Hotelary.ai:

Option A — Email Request (Recommended)

Send an email from the address registered with your Hotelary.ai account to shokey@webeasts.com with the subject line Data Deletion Request. Please include in the body of the email:

• The email address registered with your Hotelary.ai account
• The hotel name registered with your account (if applicable)
• Whether you want a full deletion (account + all data) or a scoped deletion (e.g. only the data connected via Facebook Login or WhatsApp Business)

We will acknowledge your request within 72 hours and confirm completion within 30 days, in line with GDPR and India's Digital Personal Data Protection Act, 2023 (DPDP Act).

Option B — In-App Account Deletion

If you are a registered Hotelary.ai user, log in at https://dashboard.hotelary.ai and navigate to Settings → Account → Delete Account. Confirming this action triggers the same deletion workflow as the email request above.

On a full deletion request, the following data is permanently removed from Hotelary.ai systems:

• Account data: name, email, phone, hotel profile, and login credentials.
• Hotel operational data: bookings, guest records, room inventory, point-of-sale entries, housekeeping logs, staff schedules, and financial records.
• Facebook / Meta connection data: any Facebook user ID, Meta business portfolio ID, OAuth tokens, and metadata received via Facebook Login for Business when you connected your account to Hotelary.ai.
• WhatsApp Business connection data: WhatsApp Business Account ID (WABA ID), phone number ID, access token, business display name, webhook subscriptions, and any message metadata routed through Hotelary.ai.
• Usage analytics: any event-level analytics tied to your account or hotel.

Backups containing your data are purged on a 90-day rolling window after the deletion request is fulfilled.

If you only want to revoke Hotelary.ai's access to your Facebook account or WhatsApp Business account — without deleting your Hotelary.ai account — you have two options:

Revoke from Facebook Settings

• Go to Facebook Settings → Business Integrations.
• Find Hotelary in the list of connected apps.
• Click Remove. This revokes Hotelary.ai's OAuth access immediately and Meta will notify us via the data-deauthorization callback.

On receipt of that callback, Hotelary.ai deletes the OAuth token, WABA ID, and phone number ID associated with your account within 30 days.

Revoke from Hotelary.ai Dashboard

Log in at https://dashboard.hotelary.ai and navigate to Settings → WhatsApp → Disconnect. This removes all stored credentials for your WhatsApp Business connection while leaving your Hotelary.ai account otherwise intact.

Some data must be retained beyond an account deletion to comply with legal and accounting obligations. Where this applies, the data is access-restricted to a small compliance team and is not used for any other purpose.

• GST & tax invoices: retained for 8 years as required by Indian tax law.
• Payment records: retained for the period required by the relevant payment processor and applicable financial regulations.
• Audit logs of the deletion itself: retained for 2 years to demonstrate compliance with deletion requests.

• Within 72 hours: we acknowledge your request and provide a unique deletion ticket reference.
• Within 30 days: deletion is complete on production systems and we send a written confirmation to the requesting email address.
• Within 90 days: deletion propagates through encrypted backups.
