How Should AI Qualify Wedding and Group Hotel Enquiries?

AI should qualify a wedding or group hotel enquiry by collecting the dates, flexibility, room pattern, event needs, guest counts, and decision process before preparing a staff-reviewed proposal. It should distinguish interest from a held block and a draft estimate from an approved offer. Group business needs more than multiplying a nightly rate by the number of rooms.

Collect a useful brief without an interrogation

Begin with the details that determine fit: preferred dates, alternative dates, number of rooms by night, event type, and approximate attendance. Then ask about venues, meals, arrival patterns, and essential requirements. Save the information already supplied so the guest does not repeat it when a sales manager joins.

Explain why a question matters. “How many rooms are needed on each night?” helps build an accurate block. Asking for a full guest list before establishing availability creates unnecessary friction and data collection.

Room nights and event space compete for capacity

A weekend group can look attractive while displacing other business or exhausting a venue needed for another event. Revenue assessment should consider the complete pattern, operational costs, and the hotel's commercial strategy. Do not automatically accept the group because its gross value is larger than an individual booking.

IDeaS' meetings and events offering treats function-space revenue and group evaluation as a distinct discipline. That supports separating group qualification from a simple room-rate response; it does not establish a revenue improvement for your hotel.

A worked qualification scenario

Suppose a wedding enquiry asks for twenty rooms and a dinner. Clarification reveals that ten rooms are needed on Friday, twenty on Saturday, and eight on Sunday, with different attendees for the dinner. The useful output is a dated room pattern and event brief, not a single “twenty rooms for the weekend” summary.

If the preferred hall is unavailable, the assistant should not substitute another space without checking suitability and acceptance. It can record flexibility and prepare alternatives for the sales team.

Keep proposal authority with the right person

AI can organize the brief and draft a proposal from approved catalogues. A person with commercial authority should review nonstandard pricing, complimentary rooms, deposit schedules, cancellation conditions, and supplier commitments. After approval, keep the final version linked to the enquiry.

Use clear labels: draft, approved offer, temporary hold, or confirmed agreement. Expiry dates should come from the hotel's actual process. Do not manufacture urgency by claiming another group is about to take the venue.

Measure qualification quality

Track whether sales received a usable brief, how many clarification rounds were needed, response time to a reviewed proposal, and eventual confirmed contribution. A long conversation is not necessarily a qualified lead. Neither is a high-value estimate without feasible dates.

W3C's guidance on simple, necessary data collection also applies to the conversational brief: request what moves the decision forward.
