Hotel AI should quote a family package from the selected dates, occupancy, room category, meal plan, and approved inclusions. State the total, currency, taxes, deposit terms, and exclusions together. Do not add child, pet, or extra-bed charges automatically when those items are already covered by the package agreement.
The price is only one part of the answer
A guest asking “What is the cost for two adults and two children?” has not necessarily provided enough information for a binding quote. Child ages, stay dates, room configuration, and meals may change the offer. Ask only for missing information that affects the hotel's actual pricing rules.
Do not apply a generic industry assumption about children staying free. A property's approved package is authoritative. Equally, do not infer that every child must attract a supplement because an unrelated room-only rate includes one.
A complete package quotation checklist
| Element | What should be explicit |
|---|---|
| Stay | Arrival, departure, nights and property |
| Occupancy | Adults, children and ages where required |
| Accommodation | Room category, number of rooms and approved bed setup |
| Meals and inclusions | Exactly which services the selected package includes |
| Price | Total payable, currency and tax treatment from the pricing source |
| Conditions | Deposit, cancellation terms, expiry and whether inventory is held |
| Exclusions | Optional services that would create additional charges |
A package example without invented hotel facts
Suppose a hotel's approved offer covers a two-night family stay, breakfast and dinner, and the agreed extra-bed arrangement for one total price. The assistant should not break that agreement by adding the extra bed again during payment. If the family later requests airport transport outside the package, that is a separate offer requiring its own confirmed price and acceptance.
This is an illustrative workflow, not a live Hotelary quote. Real rates and tax amounts must come from the property's configured pricing system. See the WhatsApp quotation guide for the wider journey.
Requote after a meaningful change
If dates, occupancy, rooms, or meal plans change, retrieve the updated offer and show the revised total before acceptance. Do not preserve an earlier price merely because it appeared confidently in the conversation. Conversely, once a reservation is confirmed, changes must follow the booked terms and authorized amendment process.
Keep the accepted quote linked to the reservation. An operator investigating a dispute should be able to compare what the guest accepted with the stored package and resulting charges.
Check the final record, not just the message
During a demonstration, compare the conversation, reservation, payment request, and folio. They should agree on the amount and inclusions. A correct-looking message can still conceal a duplicate supplement downstream.
Oracle's interface overview provides context for exchanging reservation and charge data. The hotel-specific acceptance test is whether the connected workflow preserves the accepted agreement from quote to final record.
Use plain language for families
Avoid unexplained meal-plan abbreviations and ambiguous “starting from” totals. Explain what the family receives and what remains optional. If a detail is unresolved, identify it before collecting a payment.
W3C's booking-form principles support clear instructions and opportunities to confirm input. Apply that clarity to chat as well. Explore Hotelary's booking system, then test the package, a changed child age, and an optional add-on. Use the last-room guide separately for inventory commitments; a complete quote is not automatically a guaranteed hold.
