AI can help find hotel folio errors by flagging mismatches, explaining the supporting records, and routing cases to an authorized accountant. It should not silently change charges, payments, or balances to make the books agree. Detection, diagnosis, approval, correction, and verification are separate steps.
Begin with the accounting source of truth
A guest's conversation, a cached dashboard total, and the detailed folio may disagree. Determine which records are authoritative for each amount before analyzing a discrepancy. Include charge status, tax treatment, payment state, discounts, transfers, and the reservation's accepted terms.
A natural-language explanation is useful only if an accountant can follow it back to those records. “The balance looks wrong” is not an actionable finding.
An accountant-ready exception
| Field | What it enables |
|---|---|
| Property and folio reference | Correct scoped investigation |
| Observed discrepancy | Clear amount and comparison |
| Source rows | Traceable evidence |
| Possible explanation | A hypothesis clearly separated from fact |
| Protected manual entries | Prevents accidental removal of intentional adjustments |
| Authorized next step | Review or correction under accounting policy |
| Verification | Before-and-after totals and audit history |
A package example
Suppose a package already covers the agreed meals and extra-bed arrangement, but a separate supplement appears later. AI can identify the apparent inconsistency between the accepted package and the active charges. It should not delete the row automatically; there may be a later approved add-on or another explanation.
Conversely, a manually approved discount may intentionally reduce the balance below the package's headline amount. A process that “repairs” the folio by restoring that headline amount can undo the accountant's work. Preserve the distinction between package pricing and the final amount still owed.
Do not settle a balance by inference
A checked-out reservation is not evidence that every payment was received. A cancelled stay is not evidence that a deposit should be refunded. A negative balance is not automatically an error. Route each case through the hotel's accounting process and retain the business reason for any correction.
Keep rounding adjustments distinct from substantive discrepancies. A large mismatch should not disappear into a generic adjustment merely because the software can create one.
Test the controls with synthetic folios
Include a valid manual discount, a transferred balance, a pending payment, a cancelled booking with completed payments, and an intentionally unpaid folio. The system should flag genuine anomalies without treating these legitimate states as automatic correction instructions.
Use the payment reconciliation guide for payment-versus-reservation mismatches. Any correction should be idempotent so repeating the approved operation cannot duplicate an adjustment.
Understand the integration boundary
Oracle's interface overview describes exchanging charges and operational data. Read access to that data does not establish authority to post financial changes. The NIST framework provides broader context for managing consequential AI decisions.
Measure review quality
Track confirmed discrepancies, false positives, time to resolution, repeated incidents, and unauthorized changes. A high count of alerts is not a success metric if accountants spend hours dismissing them.
Review Hotelary's finance overview and the night-audit automation guide. Pair them with acceptance testing. The useful assistant makes the books easier to verify while preserving the authority and evidence required to change them.
